How to Setup an Automatic SMS and Email Response for New Lead Form Submissions

When I first implemented this SMS and email automation, I was running a gutter cleaning company. Below is an example form that people submitted to get a free gutter cleaning quote. Note: This specific example is setup to only work with North American phone numbers, but this system can work for ANY type of area code.

When it comes to form submissions from people requesting more information or a free quote, response time is key. Check out these stats if you need convincing:

  • If you contact a lead in the first 5 minutes after they’ve submitted a web form, they’re 100x more likely to respond
    • Longer than 5 minutes = an 80% decrease in lead qualification.
  • Sales conversions are 391% higher in the first minute
  • 78% of customers buy from the first responder.

As you can see, after you get a web lead, it’s in your best interest to IMMEDIATELY respond to them or your chances of selling them begin to fall by the minute.

To set this up, I used two different software tools:

  • Twilio – this service allows you to get an online phone number, it is used to send out the text messages to your leads, receives the responses and forwards them to your mobile phone, and forwards calls to your phone when people call the SMS number. 
    1. Cost
      • $1.00 per month for a phone number.
      • $0.0075 per text message. To put this into perspective, if you send 1,000 SMS messages, this comes out to only $7.50.
      • $0.0085 per minute for calls that come in if someone calls the number. To put this into perspective, if you accrue  5 hours of talking, this comes out to only $5.10
    2. Twilio requires a $20 deposit and then it charges you $10 every time you go under a $10 balance. For most of you, this will cost you about $10 per month.

Let’s get started on the setup!

Step 1.

The first step is to sign up for Twilio. After you sign up, you will need to choose a phone number, set it up to forward SMS messages to your mobile phone and set it up to forward calls to your mobile phone. I made a video walking you through this full process:

Step 2.

Next, if you haven’t already, we need to sign up for AutopilotHQ and then get the tracking code from your new account and add it to your website.

Step 3:

Now that all the accounts are created and connected to each other, we can setup your automation “Journey” in Autopilot. This journey will detect when your website form is submitted and it will tell Autopilot what it should email and SMS text them.

Step 4:

That’s it! Now you want to make sure you test it out to make sure everything is working properly. When testing the form, you want to make sure you always use a new private browsing window (incognito) for each test, and that you also delete the user info after you’re done. This video shows you how:
